1. Who we are
QuoteBuddi ("we", "us" or "our") is a business based in Alberta, Canada. We are responsible for the personal information we collect through our website (the "Website").
We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), Alberta's Personal Information Protection Act (PIPA), Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25) where it applies, and Canada's Anti-Spam Legislation (CASL).
We have designated a Privacy Officer who is accountable for our compliance with this policy. You can reach them at privacy@quotebuddi.com.
2. What we collect
Information you give us
When you fill out the "Book a demo" form, we collect:
- your name, shop name and type of shop;
- your email address;
- optionally, your phone number, shop website and any message you include; and
- that you agreed to our Terms and Privacy Policy, and when you did.
If you email us directly, we collect the information in your email.
Information collected automatically
When you visit the Website, some information is collected automatically:
- Meta Pixel. The Website uses the Meta Pixel, an advertising tool from Meta Platforms, Inc. (the company behind Facebook and Instagram). It uses cookies and similar technology to tell Meta which pages you visit and whether you send a demo request. It does not send Meta the details you type into the form. Meta may connect this with your Facebook or Instagram account. We use it to measure how well our ads work and to show our ads to people who may be interested in QuoteBuddi. Meta's use of this information is covered by Meta's Privacy Policy. You can opt out of ads based on your activity on other websites in your Meta ad preferences, through the Digital Advertising Alliance of Canada, or by blocking cookies in your browser.
- Our website hosting provider may automatically record standard technical information, such as your IP address, browser type, the pages you request and the time of your visit, to deliver and secure the Website.
- The Website loads fonts from Google Fonts. When your browser requests those fonts, Google receives your IP address and browser information. Google's handling of that information is covered by Google's privacy policy.

3. Why we use it
We use your personal information only for the purposes we tell you about:
- to respond to your demo request, schedule and run your demo, and follow up about QuoteBuddi;
- to operate, secure and improve the Website, and to prevent spam and abuse;
- to measure and improve our advertising on Facebook and Instagram; and
- to meet our legal obligations.
We do not sell or rent personal information. We do not use it to make decisions about you based solely on automated processing.
4. Your consent
We collect, use and disclose personal information with your consent, except where the law allows or requires otherwise. By checking the consent box and submitting the demo request form, you consent to the uses described in this policy. We do not send you newsletters or marketing emails unless you separately agree, as required by CASL.
You can withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by emailing our Privacy Officer or by clicking "unsubscribe" in any of our emails. If you withdraw consent, we'll explain any consequences, for example that we can no longer schedule your demo.
6. Storage outside Canada
Some of our service providers may store or process personal information outside Canada, including in the United States. While it is outside Canada, it is subject to the laws of that country and may be accessible to its courts, law enforcement and national security authorities.
You can contact our Privacy Officer at privacy@quotebuddi.com to get written information about our policies and practices for service providers outside Canada, or to ask questions about how those service providers collect, use, disclose or store personal information for us. Where Quebec law applies, we assess the privacy risks before personal information is communicated outside Quebec.
7. How long we keep it
We keep personal information only as long as we need it for the purposes above. Demo request information is generally kept for up to 24 months after our last contact with you, unless you become a customer (in which case your service agreement applies) or the law requires us to keep it longer. We keep a record of your consent for as long as needed to show we followed the law. After that, we securely delete or anonymize it.
8. How we protect it
We use reasonable physical, organizational and technical safeguards that match the sensitivity of the information, including encrypted connections (HTTPS), limiting access to people who need it, and using reputable service providers. No method of transmission or storage is completely secure, but we work hard to protect your information.
9. Privacy breaches
If a breach of security safeguards involving your personal information creates a real risk of significant harm to you, we will notify you and report it to the Office of the Privacy Commissioner of Canada and the Office of the Information and Privacy Commissioner of Alberta, as required by law. Where Quebec law applies, we will notify the Commission d'accès à l'information and affected individuals of any confidentiality incident that presents a risk of serious injury. We keep a record of all breaches.
10. Your rights
You have the right to:
- ask whether we hold personal information about you, access it, and learn how it has been used and to whom it has been disclosed;
- ask us to correct information that is inaccurate or incomplete;
- withdraw your consent, as described in section 4; and
- if you live in Quebec, exercise additional rights under Quebec law, including asking for de-indexation where applicable and receiving computerized personal information you provided in a structured, commonly used technological format.
To make a request, email our Privacy Officer at privacy@quotebuddi.com. We may need to confirm your identity first. We will respond within the time required by law, which is generally 30 days. Requests are free in most cases; if a fee ever applies, we will tell you in advance.
If you're not satisfied with our response, please let us know so we can try to fix it. You also have the right to complain to:
- the Office of the Privacy Commissioner of Canada (priv.gc.ca);
- the Office of the Information and Privacy Commissioner of Alberta (oipc.ab.ca); or
- for Quebec residents, the Commission d'accès à l'information du Québec (cai.gouv.qc.ca).
11. Shops' customers
When a shop uses the QuoteBuddi service on its own website, its customers may share information such as vehicle details, photos and contact details through the chat widget. In that case, the shop is responsible for that personal information, and QuoteBuddi processes it on the shop's behalf as a service provider, under our agreement with the shop. If you're a customer of a shop that uses QuoteBuddi, please review that shop's privacy policy and contact the shop first. We'll help the shop respond to your request.
12. Minors
The Website is intended for businesses and is not directed at children. We do not knowingly collect personal information from anyone under the age of majority. If we learn we have, we will delete it.
13. Changes to this policy
We may update this policy from time to time. We will post the updated version on this page and change the "Last updated" date. If we make a material change to how we use your personal information, we will give you notice before it takes effect and, where required, ask for your consent.
